FAQ

Questions, answered

The things people ask before they pay: what each plan is really worth, how refunds work, and how to move between plans once you're in.

Pricing

What does StageFlow cost?

Four monthly plans: Free (€0), Solo (€9/month), Team (€29/month) and Agency (€79/month). There is also Founder Access, a one-time payment instead of a subscription: Founder Solo €49, Founder Team €99, Founder Pro €199. All prices are in euro and shown on the pricing page.

What's the difference between the plans?

Free covers one organization with 2 active events and 3 team members. Solo lifts that to 10 events, 5 members, unlimited checklists and reusable templates. Team adds unlimited events, 15 members, roles and permissions, shared templates and readiness analytics. Agency is for people running several client organizations, with client access, white-label briefs and custom branding.

Do volunteers count toward the member limits?

No. Volunteers are unlimited on every plan and never count toward member limits. The member numbers only apply to people with organization accounts.

What exactly is Founder Access?

A one-time purchase that gives you the features and limits of the chosen tier without a monthly bill. It does not include unlimited hosting, storage, AI usage, custom development, or guaranteed future features. If a Founder purchase is refunded, the organization goes back to the Free plan.

Can I use StageFlow without paying?

Yes — the Free plan is a real plan, not a trial. You can run an organization with 2 active events and 3 members for as long as you like, and upgrade whenever you outgrow it.

Is there a plan with no limits at all?

Yes — Unlimited at €149/month removes the cap on active events and on team members, and includes everything in Agency. It's for teams running many locations or a full weekly calendar.

Who can buy a plan, and how do I pay?

Only an organization owner can buy or change a plan. Checkout is handled by Paddle, our Merchant of Record, who also deals with taxes and VAT for you — so you receive one receipt and don't have to handle tax yourself. Card payments, and PayPal where available.

Refunds & cancelling

Can I get a refund?

Yes. Every purchase — monthly plans and one-time Founder Access alike — comes with a 14-day money-back guarantee from your order date. Details are in the Refund Policy.

How do I request a refund?

Paddle processes refunds. Look up your order at paddle.net, or reply to your receipt email, or contact us through the app and we'll help.

What happens when I cancel a monthly plan?

Cancel any time from the Billing page. Your plan keeps working until the end of the month you've already paid for, and only then does the organization move to Free. You're not cut off mid-month.

Do I lose my events and team if I drop to Free?

No. Your events, roles, checklists and people all stay in place. The only thing that changes is what you can add next — see the next question.

What if I'm over the Free limits after cancelling?

Existing events and members stay, but you won't be able to add new ones until you're back under the limit — or you upgrade again.

Changing plans

How do I switch from one plan to another?

On the Billing page, tap Change card, switch or cancel. That opens your Paddle billing account where you can move to a different monthly plan, update your card, or cancel. The button only appears for organization owners.

Can I buy Founder Access on top of a monthly plan?

Yes — you can hold both, and the better of the two applies to your organization. If you keep paying for a monthly plan you don't need, cancel it in the billing account so it isn't renewed.

Can I run more than one organization?

Free and the Founder tiers cover one organization each (Founder Pro covers up to three). Agency is the plan for several client organizations under one account.

What happens if a payment fails?

Your Billing page shows a 'payment failed — update your card' notice. Paddle retries, and you can put a new card in through the same billing account. Your plan keeps working until the paid period ends.

Who sees the billing information?

Only organization owners can see and change the plan. Other members see nothing about billing beyond what your organization's own settings show them.

Still not sure?

Look over the plans, or start on Free and decide later — no card needed.
